This podcast has been produced exclusively for the SecsintheCity. Pitman Training has been helping people gain valuable office skills for over 170 years and today I'd like to share with you my top tips for working smarter with Outlook. So, without further to do, let's get started 1. Customise Quick Access Toolbar This is a great addition to Microsoft Office. You should find this toolbar at the top left of your application. Simply click on the arrow and this will allow you to add in your common tasks such as print, email, save, new and much more. I guarantee this task alone will save you time. 2. Conversations This is a clever tool. It essentially allows you to follow the full thread of an email in one place. Just click on the view tab and select the "show as conversation" setting . This will display all emails connected with the same subject together, including the emails you've sent. 3. Add Folders to Favourites If like me you diligently file everything into folders then sometimes it can be a task to trawl through them to find the one you need. Simply add your regularly used folders to your favourite folders by dragging them up to the top left of your application. This will create a copy of the folder in this section so it's really easy for you to find your popular folders. 4. Take a screenshot One of the smartest tools Microsoft has added to its Office suite has been the ability to take a screenshot of any open application on your desktop just by selecting the insert tab and clicking on screenshot. This will show you thumbnails of what's open. You simply select and it will put the screenshot directly into your email and then you can even photo edit it. 5. Second Time Zone Does your boss often travel to another country and you have to manage his diary across two time zones? Then this is a great tool for you. Simply add a second time zone and this will show up next to your UK time on the calendar. To do this simply click on the file tab, here you will find Options and select Calender. This will bring up all calendar options, find time zones, choose the relevant time zone and that's it! Working smarter, as you can see can really help your productivity. These are just 4 simple tools , there's many more and I urge you to really master Outlook.
